How to Choose a CA for Your Business — 7 Things to Check Before You Hire

A bad CA can cost you more in penalties and missed deductions than their fees. Here are 7 criteria to evaluate before hiring a chartered accountant for your business or personal taxes.

1. Verify ICAI Registration

All practising Chartered Accountants in India must be registered with the Institute of Chartered Accountants of India (ICAI). Verify the CA's membership number at icai.org → Members → Find a Member. A valid, active membership is non-negotiable. Be wary of "tax consultants" who are not ICAI members — they cannot sign audit reports or legally practise as CAs.

2. Check Relevant Experience

A CA specialising in salaried individuals is different from one experienced with startups, manufacturing businesses, or NRIs. Ask: how many clients similar to me do you handle? Have you dealt with ITR notices, GST audits, or transfer pricing? Experience in your specific area matters more than years in practice.

3. Understand Who Will Actually Handle Your Work

Large CA firms often use juniors and article assistants for client work while the partner oversees but rarely reviews. Ask directly: who will handle my ITR, GST returns, or audit? Will the signing CA personally review my documents? At smaller firms, you often get direct access to the CA — which can be better for personalised service.

4. Check Response Time and Availability

Tax has strict deadlines. An unresponsive CA during filing season (July, March) or when a notice arrives is a liability. Before hiring, test their responsiveness: send an enquiry and see how long it takes to reply. Ask how they communicate — WhatsApp, email, phone call? What is the turnaround time for document submission to filing?

5. Ask About Their Technology and Tools

A modern CA should use accounting software (Tally, Zoho Books, QuickBooks), cloud storage for your documents, and a portal or app for document collection. If they are still collecting documents via physical copies or WhatsApp photos with no organised system, it signals outdated processes and higher error risk.

6. Get a Clear, Written Fee Quote

Avoid CAs who quote a vague range or say "we will discuss after seeing your documents." A professional CA gives a clear quote based on your income type, number of sources, and services required. Get the scope in writing: what is included, what triggers additional charges, and what happens if a notice comes.

7. Check References and Reviews

Ask the CA for two or three client references in a similar situation to yours. Call those clients and ask: did the CA meet deadlines, communicate proactively, and handle problems well? For online CA services, check Google Reviews, Trustpilot, or MCA portal filings history (for company work). A strong track record of satisfied clients is the best signal.
